Staying Organized by Using Presentation Folders

I work from home and it is a constant struggle to stay on top of things – be organized, in time and in the way I organize things, and be able to balance things. It helps that I have designated a space (it’s not even a room but a corner of our dining area) for me to work. When I am on that “space”, people in the house know that I am working, and need to leave me in peace (and not disturb me).

It is important for any office to be orderly and organized. It can be a real headache trying to find specific files among office supplies, Presentation Folders, stacks of paper, and filing cabinets that are not properly organized. Below are some tips to help you organize your office.

· Keep it simple. Although you may still find a complicated filing system very manageable, keeping a simple one will make it easier for you and for other people who may need to use it when you are away.

· Purge. Identify the length of time that you are supposed to keep files. Regularly purge files that you do not need anymore. These files will only take up precious space and will make it difficult for you to locate other files. Just make sure to send the piles of paper to the recycle bin and the sensitive ones to the shredder.

· Categorize. All throughout your day, categorize the files that you send out and receive. It is not reasonable to continuously file every time there is a folder or paper that needs to be filed because it will only use up a lot of time. Instead, keep a ‘to-be-filed’ pile, ‘to-be-sent-out’ pile, and ‘to- be-read’ pile. Just make sure that you regularly get around to organizing them.
